This website provides information about retreats, events, and experiences organized by LOOOM Retreats. Some retreats may be hosted in collaboration with guest instructors or partners, including Andrea Barber, founder of Fun Moves. By accessing this website or booking a retreat or event through this website, you agree to the following Terms & Conditions.
1. Use of This Website
This website is intended to provide information about the retreat experience and allow prospective participants to apply or book a place.
You agree to use this website only for lawful purposes and in a way that does not infringe the rights of others or restrict their use of the website.
We reserve the right to update or modify the content of this website at any time without notice.
2. Retreat Booking
A spot on the retreat is secured by submitting the required deposit payment.
After booking, participants will receive the Retreat Participation Agreement, which must be signed to confirm participation.
Participation in the retreat is conditional upon agreeing to and signing the official Retreat Agreement, which includes liability waivers, assumption of risk, cancellation policies, and other important terms.
Failure to sign the Retreat Agreement may result in cancellation of the booking.
3. Payment
All retreat pricing is listed in British Pounds (GBP £) unless otherwise stated.
A non-refundable deposit is required to reserve a spot.
The remaining balance must be paid by the deadline communicated at the time of booking.
Failure to complete payment by the deadline may result in cancellation of the booking.
Full payment details, including cancellation terms, are outlined in the Retreat Participation Agreement.
4. Minimum Group Size & Retreat Cancellation
Our retreats require a minimum of 8 participants in order to run. In rare situations, we may need to cancel a retreat due to circumstances outside of our control, including:
* Not reaching the minimum number of participants
* Force majeure events (such as natural disasters, travel disruptions, or government restrictions)
* Issues with accommodation or venue partners
* Illness or unforeseen circumstances affecting the retreat hosts
If a retreat is cancelled by us:
* You will receive a full refund of all payments made
We cannot be responsible for additional expenses such as flights, travel costs, accommodation booked outside the retreat, or loss of income. Where possible, we will aim to provide at least 30 days’ notice if a retreat needs to be cancelled. We strongly recommend booking flexible travel arrangements and travel insurance to protect your plans. Our liability for cancellation is limited to the amount paid to us.
5. Trip Cancelation Policy
We understand that plans can change. The following cancellation policy applies to all Participants without exception.
All cancellations must be submitted in writing via email to the Organizers. The effective date of cancellation is the date the email is received.
5.1 Deposit
The £600 deposit is non-refundable and non-transferable, except in the event that the Retreat is cancelled by the Organizers.
5.2 Participant Cancellation
If a Participant cancels their booking:
If cancellation is received before May 1, 2026: The £600 deposit will be retained. Any additional payments made beyond the deposit will be refunded.
If cancellation is received on or after May 1, 2026: All payments made are non-refundable.
We recommend participants take out insurance at the time of booking to cover these cancellation costs.
No exceptions will be made for illness, injury, travel delays, personal emergencies, financial changes, schedule conflicts, weather conditions, or any other unforeseen circumstance. Comprehensive travel insurance is required and must include coverage for trip cancellation, trip interruption, medical expenses, and emergency evacuation.
6. Travel Arrangements
Participants are responsible for arranging their own:
Flights
Travel insurance
Transportation to and from the retreat location
The Organisers are not responsible for travel delays, cancellations, or additional travel expenses incurred.
Participants are strongly encouraged to book flexible or refundable travel arrangements.
7. Health & Safety Disclaimer
The retreat includes outdoor activities such as hiking, movement sessions, and physical activity in alpine environments.
Participation in these activities carries inherent risks.
By booking the retreat, participants acknowledge that they are responsible for ensuring they are physically capable of participating in the activities offered.
Full risk acknowledgements and waivers are included in the Retreat Participation Agreement.
8. Third-Party Services
The retreat may involve services provided by third parties including accommodation providers, transportation operators, restaurants, and other activity providers.
The Organisers are not responsible for the acts, omissions, or service quality of these third parties.
8. Intellectual Property
All content on this website — including text, images, branding, and graphics — is the property of the Organisers unless otherwise noted.
Content may not be copied, reproduced, or distributed without written permission.
9. Limitation of Liability
To the fullest extent permitted by law, the Organisers shall not be liable for any direct or indirect damages arising from use of this website or participation in the retreat.
Participation in the retreat is governed by the Retreat Participation Agreement, which contains the full legal terms of participation.
10. Governing Law
These Terms & Conditions and any dispute or claim arising out of or in connection with them or their subject matter or formation shall be governed by and construed in accordance with the law of England and Wales. Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim
10.1 Our Responsibility: Nothing in these Terms & Conditions shall limit or exclude our liability for:
Death or personal injury caused by our negligence;
Fraud or fraudulent misrepresentation;
Any other liability that cannot be excluded or limited by the laws of England and Wales.
11.2 General Limitations: Subject to clause 11.1, the Organisers (including Lauren Coutts, LOOOM Retreats, and any guest instructors such as Andrea Barber) shall not be liable to you for any:
Loss of profit or revenue;
Loss of or damage to personal property;
Indirect or consequential loss arising from your use of this website or participation in the retreat.
11.3 Financial Cap: Our total liability to you in respect of all other losses arising under or in connection with the retreat, whether in contract, tort (including negligence), or otherwise, shall in no circumstances exceed the total price paid by you for the retreat.
11.4 Participation Agreement: Your participation in the retreat is further governed by the Retreat Participation Agreement, which contains specific waivers regarding the inherent risks of physical activities (such as hiking and movement sessions).
